Who you’ll be working with
You will be part of a team of up to 25 EA’s working to support a number of VP’s across various areas within Capgemini. The team has a great reputation within Capgemini and ensures VP’s receive the best quality support. On occasion ensuring great delivery means getting involved in holiday cover for colleagues, and other items to support your wider team and the VP community at Capgemini.
The focus of your role
Based in a busy, vibrant environment in Holborn Viaduct, you will be providing secretarial and administrative support to 2-3 Vice Presidents.
What you’ll do
With the utmost discretion you will be responsible for comprehensive and proactive diary management
You’ll schedule meetings both internally and externally and be adept at managing multiple diaries across different time zones. Prepare daily agendas, ensuring that required travel is organized
Responsibility for taking notes during the CEO’s weekly operations meetings. Maintain records of meetings with a high degree of accuracy
Proactive handling of email/voice mail and preparation of action lists to assist Vice Presidents in the prioritisation of his or her time. Maintaining discretion at all times
Producing documents and presentations using Word, Excel and Powerpoint
Monitoring and entering of expenses, timesheets and invoices using online systems
Handling of general enquiries which on occasion include client calling
Assisting other EA’s if and when necessary, including holiday cover at senior level
Ad-hoc projects as required – willingness to ‘get involved’
What you’ll bring
- Experience in an EA role, at a similar level
- Experience in a professional services or blue-chip environment
- Excellent English both oral and written
- Advanced Microsoft Word, PowerPoint, Excel & Outlook
- Event organisation experience, i.e. large events
- Excellent attention to detail
- Adaptable and willing to work across various areas/projects as required. A flexible approach
- Inquisitive and interested, will seek out solutions and explore options rather than wait to be told what to do
- Ability to remain calm under pressure and deliver to tight deadlines
- Good team-working skills and willingness to support colleagues as required.
