Role Description:

This position rolls into Executive Support Professional 4 as a Supervising Senior Associate level. 

Provides full and monitored support on defined scope of level 5 activities. Works within a structured team environment.
General Responsibilities / Accountabilities
    
-Management of incoming email messages and correspondence including prioritizing, redirecting messages to appropriate person to handle as appropriate, and escalating time or client sensitive
-Collection and organization of briefing materials to fully inform the executive about the background and context of meetings
-Calendar management including the proactive coordination of meetings and executive travel 
-Occasional support of offsite meetings of the management team, with limited travel required
-Support of visiting Group Executives
-Preparing and filing of expense reports and reconciling reimbursements
-Set up internal & external meetings / videoconferences
-Calendar management 
-Set up conference calls 
-Plan meeting agenda 
-Send reminders
-Document minutes of meetings
-Mailbox management 
-Travel coordination (domestic and international air, hotel, car)
-Time and Expense Reporting and Reconciliation
-Document Support and Management (includes client deliverables, Troom, contracts)
-Technical Support (includes resolving client PC & phone issues, GPS, Sourcing, Intranet/Internet research, ITICS testing)
-Additional administrative support requests as needed
-People Manager (manage, lead, develop & coach team; manage workload distribution and compliance oversight)
-FAST Manager (growth in coordination of various administrative  functions across NA)
-Leadership conduct (support in leading the FAST community in quarterly calls, triad teams, knowledge share, and service delivery) 
-Dual Role: Site Coordinator / Facility-refer to Facility Career Framework (if applicable)

Qualifications:

-Minimum 6-7 Years of Experience in C-Suite executive environment;  
-Must have experience with Project Management Tools like and MS Office; 
-Strong organizational skills required; including superior time management skills;
-Superior communication skills (both written and oral);
-Ability and comfort interacting with all levels of management, business leaders and technology stakeholders;
-Strong attention to detail;
-Motivated, reliable self-starter; proactive approach
-Team player with a positive attitude.
-Ability to work in a fast paced environment
-Successful track record of managing competing priorities effectively
-Demonstrated ability to take initiative and work independently
-Demonstrate mature judgment and discretion in handling confidential information and appropriate escalation of issues to key staff

Candidates should be flexible / willing to work across this delivery landscape which includes and not limited to Agile Applications Development, Support and Deployment.
